Carpet vs Hard Floor: The Real 2026 Office Cleaning Cost

Specifying a 2026 Midlands office reno? Carpet vs hard floor changes your 10-year cleaning cost more than the install — here's the FM calculation.

What the 2026 cleaning maths actually says

Take a 2,500 sq ft Midlands office. Daily 3-hour clean over 5 days a week. The breakdown of cleaner-time across surface types in a typical office is roughly: floor cleaning (vacuum or mop) 40–50% of the visit, sanitary/washroom 15–20%, surfaces and high-touch points 20–25%, kitchen and breakout 10–15%. The floor portion is the lever. FM Industry's 2026 surveys put cleaning-supply hourly cost up materially through 2024–2026 because of NI and NLW — the supplier has less time to give you for the same money, so the floor decision matters.

Why this is suddenly an SME-CFO conversation

Through 2024 it was easy for FM to absorb floor-related cleaning cost differences quietly. With NI uplift and NLW at £12.71, the differences are visible on the cleaning invoice month-on-month. CFOs are asking. The architect's choice of finish is now a finance choice.

Carpet — what it actually costs to clean over ten years

Daily vacuum, twice-yearly hot-water-extraction (HWE) deep clean, quarterly spot-treatment for spills. Time per visit on a 2,500 sq ft office: roughly 35–45 minutes of the daily 3-hour visit. Twice-yearly HWE adds roughly £450–£650 each. Quarterly spot treatments add roughly £100–£180 per visit. Carpet replacement at year 7–10 typical (depending on quality of carpet tile) at £12–£22 per square metre installed. Total decade cost: cleaning labour share is ~£30–£40k, plus 4 HWE deep-cleans £2k–£2.4k, plus spot treatments £5k–£8k, plus carpet replacement £28k–£50k.

Acoustic absorption (genuinely better than hard surfaces — noticeable in open-plan), comfort underfoot, design flexibility (carpet tiles can be replaced selectively), warmth, and — less obvious — less cleaning visibility (a carpet looks 'just cleaned' for longer than a hard floor that picks up footmarks faster).

Luxury vinyl tile (LVT) — the 2026 dark horse

Daily mop, weekly damp-mop with neutral cleaner, monthly burnish (optional, depending on finish). Time per visit on the same 2,500 sq ft: roughly 25–35 minutes of the daily visit. No twice-yearly HWE. Spot-treatment cost minimal (water and cloth handle most spills). Replacement at year 12–15+ depending on traffic. Total decade cost: cleaning labour share is ~£22–£30k, plus periodic refinishing £1–£2k, plus replacement at year 12+. LVT is the choice gaining the most ground in 2026 Midlands fit-outs because the cleaning saving is visible from year one.

Polished concrete — the lowest-cost-to-clean option

Daily dust-mop, weekly damp-mop. Re-polish every 2–3 years. Cleaning time per visit: roughly 20–30 minutes of the daily visit. Total decade cost: cleaning labour share is ~£18–£25k, plus periodic re-polish £1k–£1.5k each. Suits warehouse, light industrial and design-led creative spaces; less suitable for client-facing professional offices unless aesthetically deliberate. Acoustic challenge in open-plan.

Engineered timber — design-led but cleaning-cost-heavy

Daily soft-broom or microfibre mop, weekly damp-mop with timber-specific cleaner, annual re-buff. Cleaning time per visit: roughly 30–40 minutes. Higher-grade cleaning chemicals required (cheaper alternatives can damage finish). Replacement at year 10+ depending on traffic. Total decade cost similar to carpet, sometimes higher because of specialist cleaning labour and chemical premium. Best for client-facing reception areas; specify carefully for high-traffic open-plan.

What 2026 Midlands offices are choosing

  • LVT in 60% of new mid-size fit-outs (up from ~35% in 2022) — the big winner of the 2024–2026 cost squeeze
  • Carpet tile in 25% — still preferred where acoustic is critical, especially in larger open-plans and call-centre environments
  • Hybrid (LVT in circulation, carpet in working zones) in 10% — splits the cost-acoustic trade-off
  • Polished concrete in 3–4% — niche, design-led
  • Engineered timber in client-facing zones only — typically <2% of total floor area

What this means if you're FM

Once the architect has presented finishes to the client, the floor is locked. The FM-side cleaning model needs to be shared at the spec stage.

A reputable Midlands cleaning supplier will model this for you on request. The number is rarely the deciding factor on its own, but it should be visible in the trade-off.

Acoustic, comfort, brand impact, and end-of-life replacement cost all matter. Cleaning-cost optimisation that produces a noisy open-plan is a false economy.

An LVT floor cleaned with the wrong chemicals will look battered by year five. A carpet without scheduled HWE will be visibly dirtier by year three. The cleaning regime is part of the floor specification, not a separate post-handover decision.

How Kirk Group Cleaning models this for Midlands clients

When a Midlands SME engages us at design stage for a fit-out, we share a 10-year cleaning-cost model on the floor options the architect has shortlisted. We're agnostic to the choice — LVT is cheaper for us, carpet generates more deep-clean revenue — the model is open-book either way. We also write the post-handover cleaning regime into the spec document, so the client moves into a building with the right cleaning rhythm from day one. Cleaning across Birmingham, Coventry, Leicester, Nottingham, Stoke and the East Midlands.
